Unique Email Dropbox to auto attach to Contact
This does NOT need to be hosted email with RT It can be ANY email provider. The only key here is the unique dropbox email address.
This would be an email unique to each user on a database. By simply forwarding an email to this address or by bcc when sending a new email to a contact, the email will be attached to the contact's notes corresponding to the original email (if forwarded) or to the email being sent to (if sending a new email). If there is no contact already associated with the email, then a new contact will be created. The note will show as being added by the database user who sent the email to the unique dropbox email. (I've seen this is multiple other CRMs and have implemented this in my own CRM but decided against using since I'm the only person in our IT Department).
This suggestion is either not possible or not planned at the current time. Technology changes all the time though! The same suggestion can be added as new if desired. At this time, we have an automatic way the emails are linked so as to maintain the full and complete client correspondence with no edit-ability for compliance reasons.

This is the biggest drawback I have found with Redtail since our home office recently made us switch from a different vendor. In my capacity, I need to send client reviews and analyses to the client's advisor(s), who then communicates the information to the client. This information NEEDS to be saved in the client records in Redtail along with any accompanying attachments. Our previous CRM software had Outlook integration and, after sending an email, I was given the option to save/post the email to a client. I could select yes, and then it asked me which contact(s)/client(s) I wanted to save the email to. I could save it to multiple clients simultaneously and it would appear as an email (with accompanying attachments) in the client's profile along with other client notes. Redtail's method of having to copy the text of an email and paste it into a note (as far as I know without the ability to also save an attachment) is wholly inadequate and requires me to waste a significant amount of time copying emails and pasting them individually as notes and it is even worse if I'm saving info to multiple clients (eg a husband and wife). Additionally, there does not seem to be a way for attachments to be posted/saved along with the note.

This would also be valuable so that we could link emails from the client's accountants, attorneys, etc.. directly to their contact record.

A feature that I used a lot in another CRM allowed me to post an email to a certain client. This is different than the current practice of integrating the email address. I have a voicemail system that sends me the original voicemail that a client left directly to my email. I can play it on my phone or computer or anywhere that I am. I would like to attach this voicemail to the client documents tab so I have it if I need it. It is client specific and would like to right click in outlook and be able to type the client in and have it attach.

It would be helpful to be able to drag an email from outlook and drop it into a client's account on Redtail. This would be useful when a client's attorney or accountant emails the advisor but the client isn't copied in...I'd like that conversation in my notes but the email isn't connected to that account.

We would also love having the option of moving 3rd party (vendors/CPAs/Attorneys/etc.) e-mails to our clients activity email history.

We would like to be able to pin an email from Outlook to specific client contact in Redtail. We send a lot of internal emails regarding clients with pertinent information and would like to be able to save these emails within that client contact. We used to have this capability with a CRM called SmartOffice. We love the functionality of Redtail but do miss being able to pin emails to our clients. This is a very important feature as we work with estate attorneys, insurance underwriters, wholesales, etc.

Junxure and Salesforce are the first two that come to mind, but they both have an add-on for Outlook that links emails to contact records without having to change hosting or buy a new domain specifically for archiving. Redtail should have the same thing.

Just a note on Outlook. I think you need to check your settings. Outlook does not automatically delete anything if you don't tell it to. I still have archived emails from 2004 in my Outlook, and we've upgraded hardware twice since then. The point is simply that if you are waiting for an archiving solution, you don't have to lose emails from Outlook just because they are old.

When I send an email to a client or prospect it would be great to be able to add that to the Activities or Notes section of the client record directly from Outlook.

Having a unique BCC code that you could add to every email. The recipients email address could be matched with a contact and added to the email history section.

This is a very needed feature!! For our internal use as well as for compliance issues. We need to be able to see all emails sent to every client, BCC emails included.

From the email history report, add a choice to the down arrow of adding email to a specific contact, in addition to download original. Some emails that deal with a contact were not sent to the contact nor did it come from the contact; hence no email address can match up.
However, there are valued emails that need to be captured in relationship to the contact and this feature would make it easier for a trail to be maintained.

Redtail does not host our email. If I am RESPONDING to an email of a client, it would be nice to bcc a email address such as "Yourfirm@redtail.com". Redtail would then put the email and attachments into the notes of the client you are responding to. Redtail would match the To: with the client's email address in the CRM. No more copying and pastings emails into notes.

This would also be helpful from a reporting standpoint. Right now if you run a report on the level of activity for a given client, the results can be misleading, as they leave out all the emails done on behalf of the client.

I'm frequently emailing with vendors about an account, especially when opening accounts or transferring money, which is time sensitive to the client. It would be great to link the vendor's email to the client account so I can know the latest status of activity related to the client without copying and pasting vendor emails into notes.

Not sure if this is saying to add email as a note to another contact record? That is something we would like

This is a highly requested feature. Are you listening RT???

Junxure had a feature that allowed you to import a single email and attach it to a record of your choice, despite the email addresses. It was very useful to keep appropriate documentation.

As advisors, we like to have a recording of as many interactions and messages as possible.
Currently, I believe, The only E-mails that are recorded to the contact record based on whether the contact's E-mail address is in the To, From, or body of the message. This is a start.
It would be helpful to have he E-mail link engine search the To, From, CC, and BCC fields.
In addition, it would be nice to have that engine link E-mails that contain the clients account numbers as well.
For example: If a client does not use E-mail, account number could be a go to backup search qualifier for linking. -

Option to add email to contact activity history to/from third party contact.
Would like to track email to/from vendors/CPAs/attorneys/etc that are about a client - would like to be able to add those emails to client's activity email history.
