Essential Updates to Copytalk Integration
High Priority
Either have all dictation come into Redtail or, at a minimum, all dictations that are done in Redtail via the Copytalker app. Currently, the only way to have all dictations come in is by having Copytalk setup the integration via the Legacy system, rather than Redtail Forms. However, the Legacy system won’t automatically link the dictation to a contact record, even if formatted properly or done via the Update Contact option via the Copytalker app. When using the Redtail Forms integration, dictations only come through if very specific wording is used, and the Copytalk transcriber tags it for Redtail. Whether it’s a user-error, poor audio, or transcriber-error, the end Redtail user has no way of knowing what dictations failed to come through unless they manually lookup every emailed dictation from Copytalk in Redtail (which is just as time consuming as creating a new note and pasting the email into it
Have a column in the Copytalk section of the Today page that indicates which Contact (if any) the dictation was linked to. That would not only allow the user to quickly identify whether or not it was already/automatically linked to a contact, but also confirm it’s the correct contact.
Using the dictation timestamp from Copytalk as the date/time for the note creation
Ability to use the Copytalker app to create Notes from within the Activity screen, thereby automatically associating linking it to both that Activity and the linked Contact. Currently, the only options are General Dictation and Create Contact (which is basically worthless because you can simply type the new contacts name into the Linked Contacts box and create the new contact that way).
The only time an activity should be automatically created when a dictation is received is if it was done via the “Create Activity” request, or if the dictation wasn’t linked to a Contact (and needs to be manually linked). As an alternative to this, allowing the user to convert an Activity to a Note would probably suffice. Otherwise, receipt of the dictation by Redtail should simply show up in the Notifications and Copytalk sections.
Medium Priority
Ability to toggle permissions to allow other Users/Teams to be able to view/manage another’s users Copytalk messages in Redtail. That would allow an advisor’s staff to assign the notes to the correct contact, create and/or assign activities to other team members, etc. The only other alternative at this time is to setup the integration on the Copytalk side using the staff person’s Redtail ID.
Low Priority
Be able to run a report and/or search the dictations logged in Redtail (I added noreply@mycopytalk.net to the Organization I created for Copytalk as a temporary workaround)
Changing the name of the Copytalker button from “Update Contact” to “Create Note”
