email reporting
Currently, when an email report is exported into a CSV, the report only shows the "Subject", "Attachment", "To", "From", and "Message Date" fields. It would be SUPER SUPER HELPFUL for compliance personnel if the body of the email could be exported into this CSV report as well. That way, we could use the search feature in Excel to do keyword searches in archived emails, and we would have a report that we could save to prove that the searches were done.
More information is needed internally before a decision can be made. Nothing is needed from Redtail clients at this time. This suggestion is remaining open and can continue to gather votes and comments!

For CCOs, a way to search/index emails firm wide so a third party service like Smarsh is no long necessary. As CCO, I have to manually go through each employees email history. At this point, redtail can only produce a report for email subject and sender/recipient

Also, requesting various emails from Redtail for random compliance testing is not efficient. What should take 10 min is now takes at least 24 hours.

It would be convenient if email only customers or non CRM users that monitor email for compliance had a portal or interface to access email archives without having to log in to or have access to the CRM.

Compliance Friendly Email Archiving. We currently pay redtail for email hosting and included in this service is email archiving. However, our broker/dealer still requires us to pay Smarsh for archiving. Per our broker/dealer technology desk, "redtail does not offer a way for the broker/dealer to search or retrieve e-mails from the CRM e-mail archive and redtail's rules governing the management of the data is different from Smarsh's as well. Therefore, the CRM e-mail archiving is not a suitable replacement for the e-mail surveillance done in Smarsh."

As an internal auditor, adding keywords to the search feature would help our office meet our compliance requirements. Searching on contact address and/or subject is not enough to accomplish my tasks.

Add the ability to pull all emails (including the message, not just the subject) for a selected group of contacts. This will aid in pulling all regulatory email correspondence.

A new Email by Contact report has been added to the Standard Reporting section within Redtail CRM.
The Email by Contact report allows a user to search based on date range, contact name, and the subject field.
The ability to search the body of the message for keywords and phrases and to search by email address is not available in this report. Also, you do have to select a contact record in order to perform a search. So for those users seeking a way to view emails that are not linked to a contact record or to perform compliance related reviews, this report would not provide you with the functionality that you are seeking. This report provides the user with an easier way to located an email linked to a client’s record without having to flip through the each page of 25 emails displayed within the Email History widget.
Please note that the Email Admin Viewing Permissions applies to this report as well.
We are working to add more functionality to allow for more robust search queries on your Email History.

For those who subscribe to Redtail email and have emails archived under client records, it would be able to have a search feature to find email with certain keywords.
For example, I may want to see which email I sent to a client regarding a Fidelity mutual fund.
