Collapse/Expand All options for Workflow Template Editor
Writing at the time of the new Workflow Template Update (2021.05.17):
The new system for editing templates is much more compact than the previous system and it could really benefit from a way to collapse all of the tasks or steps rather than clicking them all individually. Our office works with some very long workflows and it would help with scrolling and finding the steps/tasks we'd like to edit.

From the Today page, "Workflows Due Today" need a toggle to look at past due and future tasks, like activities have. It would also be awesome to change the assigned to like the activities have.

Have "Owner" of a Workflow also be the "Assignee" of all Workflow Tasks
If I am creating a workflow, I can assign the "Owner" of the workflow to a specific user, but there is no way for me to assign the underlying Tasks to that specific user unless I go into each task individually.
There should be an option within the workflow template to initially assign each task to the workflow owner. This way, I can start a workflow, make a specific user the Owner, then all tasks will be assigned to that owner.

Add Workflow Task Notes
We are currently having issues accessing the notes documented within the description box of workflow tasks. If task notes are are captured in the step notes box it can quickly become a jumbled mess. For example, we have a workflow with 2 steps and within those 2 steps are about 5 tasks all assigned to different people. Are the notes for all 5 of the different tasks assigned to different people supposed to be jumbled in a no particular order within the step notes box. So instead of seeing the notes for the specific task, we would have to go…

Workflows should indicate who started them - similarly to Activities
If I am assigned a workflow and have questions on it, I have to go around and ask who started it. If RedTail indicated who started the workflow like they do for activities, I would be able to go right to the source.

Add "Start Date" and "Date Previous Step Completed" as Step Due Anchors
I think it would be useful to add the workflow start date as well as when the previous step was completed as reference points for when steps are due. This would add flexibility to anchor when a step is due to days from the start date of the workflow, or from when the previous step was completed. Some steps are better anchored to start date, while others are better anchored to target date.
Many times, steps take longer than anticipated, and the existing workflow structure is not accommodating to this. Additionally, only having "target date" as an anchor for when…

Notes on tasks within Workflows
I know we can make Step notes when an entire step is completed. However when we have multiple people doing tasks within a step, it would be nice to have a separate field for them to put notes in regarding that particular task when it is complete. Yes I am aware there is a "description field" for a task and yes I know we can add notes there. That is work around and not a solution.

Imbedding Documents/Files into Workflow Tasks
I believe one feature that would transform Workflows into an even greater Redtail tool would be being able to upload/store documents and/or other resource/source/artifact files into individual Workflow Tasks. This added feature would, in my opinion, make a Workflow way more of a hub for office activities. If a specific document/file is in fact needed for a Task or is the product of a Task upon completion, being able to add it to a Task or, more broadly, a Step makes sense.

Allow workflows to show up on "Today" Page without a due date
Allow workflow step and tasks to show up on the Today page without a due date. Some project or client onboarding may not have a due date and it would be nice to see all open workflows that do not have a due date.

Confetti when workflows are completed
A fun suggestion that my office and I had was when someone completed a workflow a little confetti burst came across the screen after you clicked the complete button. It always feels so good to complete a task/workflow that we thought having some confetti fly across the screen would be really fun.

Collapse Workflow Steps
When building workflows, it would be really great if we could "collapse" the step to hide the underlying tasks. Our workflows have a lot of tasks with long descriptions and it is easy to get lost when building a workflow.

View past due Workflow activities / Roll forward past due Workflow Activities
The Workflow screen on the main CRM page shows workflow tasks due that day. However, there is no ability to see, or roll forward, past-due workflow activities.
I am suggesting functionality similar to the view/roll-forward capabilities for past due Activities, just applying it to Workflow tasks.

Under Workflow Steps - Where the "Mail Merge" Option is, there should be an "E-Mail Merge" as an option
When establishing a workflow Step, it asks if you want to do a "Mail Merge". You should also be able to choose to do an E-mail Merge from a template.

Target Dates Based on Previous Step
It would be nice if I could sequence my workflows based on the PREVIOUS STEP as well as the Target Date. Example: My assistant submits paperwork on Monday and I would like to have him/her make a follow-up call 4 days from submission.

My Workflow Tasks Page - Task Hyperlink Should Open Task
When you are on the "My Workflow Tasks" page, you can see of the tasks assigned to you. However, when you click an individual task you are taken to that workflow.
Instead, the task pop-up screen should appear, so that you can quickly update multiple tasks assigned to you in multiple workflows at one time.
Seems like how the link would obviously work.

Multiple linked contacts in workflows - Display their names, not "2".
Also, have a button that says "link to spouse" if there is a spousal contact present in the database. This would save users from having to search for the spouse.

It would be great to have a general place for notes on a workflow, kind of like they are on Activities. That way, there's no need to go looking for a note on step notes or tax comments.

Ability for team members to see when someone is working on a task
When a task is assigned to a team, it would be very nice for all users on that team to be able to see when a task is being worked on by another team member. This way 2 team members do not both work on the task simultaneously

Collapse All Feature in Workflows
Given the new workflow layout, it would be nice to be able to "collapse all" of the steps and/or tasks in a workflow as it is hard when creating/editing new workflows to get a good "bird's eye view" of the entire process in one screen easily.
